Every missed call is a job going to someone else

If you run a busy trade or a small office, the biggest hole in your week is probably one you cannot see: the calls that never reach you.
The pattern is always the same. The phone rings while you are under a sink, up a ladder, or already on another call. It goes to voicemail. The person hangs up and rings the next name on their list. You never even knew they called.
Nobody does this on purpose. There is only one of you and the work has to get done. But the caller does not know that, and they rarely wait.
The quiet cost of voicemail
People stopped leaving voicemails years ago. For a lot of callers, reaching an answerphone reads as closed. They move on, and the job goes to whoever picks up.
We are not going to hand you a dramatic figure here, because your number depends on your trade, your prices and how many calls you get. What we will say is this: sit down for five minutes and count the missed calls on your phone from the last fortnight. Multiply the ones that never called back by a typical job value. Most owners are quietly annoyed by the total.
What actually helps
A few plain things tend to plug most of the leak. None of them are clever, they just get done consistently.
- A missed call triggers an instant text back, in your name, asking what the person needs and where. Most people reply to a text even when they will not leave a voicemail.
- Calls answered by a real person in your company name when you genuinely cannot pick up, then passed to you properly rather than lost.
- Quotes that go out in minutes from your phone, while the job is still fresh, rather than at nine at night when you finally sit down.
- One place where the enquiry, the quote and the job notes live, so nothing falls down the back of the sofa.
It is plumbing, not magic
None of this turns a quiet week into a busy one on its own. What it does is stop you leaking the work you already earned by being the one people called first. That is usually the cheapest growth a small firm can buy, because you are not paying for more leads, you are just stopping the ones you have from walking.
If that sounds like your week, our Admin Rescue setup is built around exactly this. Have a look, or send us the one thing that costs you the most time and we will tell you honestly whether it is worth fixing.
